How to Respond to a Fake or Unfair Google Review

A fake or unfair review stings, but how you reply matters more than the review itself. Potential customers read your response just as carefully as the original complaint, and a calm, factual reply signals that you run a trustworthy business. If you suspect the reviewer was never actually a customer, say so plainly and without anger. One sentence noting you have no record of the visit, combined with an invitation to call and sort it out, is far more convincing to readers than a defensive paragraph.

For reviews that are real but exaggerated or unfair, resist the urge to correct every point. Pick the one or two facts that matter most, state them briefly, and move the conversation offline. You cannot win an argument in a public reply box, but you can absolutely demonstrate professionalism. Flag the review for removal through Google at the same time, but write your reply as if the review will stay up forever, because it might.

★☆☆☆☆ DaveK · A family-run Italian restaurant

"Worst pasta I have ever had. Totally overcooked and tasteless. The waiter was rude and we waited over an hour for our food."

Reply

Hi Dave, we take complaints about wait times seriously so we looked back through Saturday and Sunday's reservations and couldn't find a booking under your name. If you did visit us, please call us on 0161 445 2200 and ask for Marco. We'd genuinely like to understand what happened. If this review was meant for a different restaurant, we'd appreciate you updating it.

★☆☆☆☆ Sarah M · An independent locksmith

"Charged me 3x the quoted price when he arrived. Total scam artist. Do not use."

Reply

Sarah, we keep a written record of every job and quote. We have no callout in our logs that matches your name, address, or phone number. Our pricing is always confirmed in writing before we start work. If there's been a mix-up and you meant to review a different locksmith, please update the review. If you did use us and something went wrong, call me directly on 07823 441 009 and I'll sort it out.

★☆☆☆☆ CompetitorWatcher22 · A dog grooming salon

"They cut my dog and tried to hide it. Disgusting place. Go to Pawfect Cuts on the High Street instead."

Reply

We have no appointment in our system for this reviewer, and we'd never recommend a competitor by name in a genuine complaint. If any dog in our care was ever injured, we document it immediately and contact the owner. We've flagged this review with Google. If you are a real customer with a real concern, please call us on 01483 229 871.

★★☆☆☆ James T · A small accountancy firm

"They filed my tax return late and I got a fine. Useless."

Reply

James, I can see you were a client last year and I'm sorry the experience ended this way. What I can confirm is that we submitted your return on the 14th January, within the deadline, and we have the HMRC submission receipt on file. The penalty notice related to an earlier year before you came to us. I'd rather talk through this properly than go back and forth here. Give me a call on 020 7946 0312 and I'll pull up the file with you.

★☆☆☆☆ AnonymousUser99 · A boutique gym

"Cancelled my membership and they kept charging me for 6 months. Refused to refund. Avoid."

Reply

We looked into this as soon as we saw it. Our cancellation policy requires 30 days written notice, which is in the membership agreement, and all cancellation requests are logged with a confirmation email. We have no cancellation request or dispute on record under this username. If you are a member and believe you were charged incorrectly, email billing@thegym.com with your name and we will audit every transaction and refund anything that shouldn't have been taken.

★☆☆☆☆ Linda B · A painting and decorating company

"Shoddy work. Paint is already peeling after two weeks and they won't come back to fix it."

Reply

Linda, I remember your hallway job in March and I'm genuinely concerned to hear the paint is peeling. We used Dulux Trade throughout and applied two coats as agreed. Peeling that fast usually points to a moisture issue behind the wall rather than the paint itself, but either way I want to come and look at it. I've tried calling the number we have for you twice this week with no answer. Text me on 07711 882 334 and I'll come out within 48 hours at no charge.
